Privacy Policy

This policy explains what personal information the FISC 2026 delegate portal collects, how the FreeBalance secretariat uses it, and the choices you have. FISC 2026 — the FreeBalance International Steering Committee — is organised by FreeBalance Inc. If you have any questions, contact us at fisc@freebalance.com.

Information we collect

We only collect what we need to run the delegate portal and the event:

Your delegate account and profile. Your name, work email, position, organisation and country; an optional profile photo, short bio and professional links (such as LinkedIn); and your attendance status. Some of these may be pre-filled from your delegation’s list by the secretariat — you can review and change them on your profile page.

How you use the portal. The sessions you save to My Agenda, whether you’ve turned on session reminders, and how complete your profile is.

Newsletter. If you sign up for the public newsletter, your email address.

Technical information. Standard web-server logs — such as your IP address, browser type and the pages you request — kept briefly for security and troubleshooting. The portal sets one strictly-necessary cookie to keep you signed in; it does not use advertising or third-party analytics cookies.

How we use your information

• To run the portal — sign you in, show your dashboard and agenda, and send the session reminders you ask for.
• For the Attendees directory — signed-in delegates can see your name, role, organisation and country so peers can recognise you and connect during the event.
• For event communications — the secretariat sends you essential messages about your participation, delivered through our email provider, Mailjet.
• For the newsletter — public updates from the event, which you can unsubscribe from at any time using the link in each email.

We do not sell your personal information, and we do not use it for advertising.

Photography and recording

Sessions and social events may be photographed and recorded for event records and FreeBalance communications. You’ll be asked to complete a photography and recording consent step before the event. If you’d prefer not to be featured, let the secretariat know — and you can tell a photographer on the day as well — and we’ll do our best to exclude you.

Who can see your information

• Other delegates — the directory details described above.
• FreeBalance staff who run the event.
• Service providers who help us operate the portal — currently our email-delivery provider (Mailjet) and our hosting provider — who may only handle your information on our instructions.
• Authorities or others, if we are legally required to disclose information.

Where your information is held

Delegates join FISC from many countries. Your information is primarily held on secure servers in Canada, where FreeBalance is based, and is handled by the service providers described above. Where data is processed in another country, we rely on appropriate safeguards to protect it. If you’d like to know more about where your data is processed, contact us.

How long we keep it

We keep your delegate account and profile for the FISC 2026 programme and for up to twelve months afterwards, so you can return to event materials. After that we delete or anonymise it, unless we need to keep certain records longer to meet a legal or accounting obligation. Newsletter sign-ups are kept until you unsubscribe.

Keeping your information secure

The portal runs over an encrypted (HTTPS) connection, delegate content sits behind sign-in, and downloadable materials are served only to signed-in delegates. Access for FreeBalance staff is limited to those who need it to run the event.

Your choices and rights

• You can see and update most of your details yourself on your profile page.
• You can unsubscribe from the newsletter at any time.
• You can ask us to access, correct or delete your information, or to limit how we use it, by emailing fisc@freebalance.com.

Depending on where you live, you may have additional rights under data-protection laws such as the GDPR. We’ll honour those rights — just get in touch. If you believe we have mishandled your information, you also have the right to complain to your local data-protection authority, though we’d appreciate the chance to put things right first.

Children

The portal is intended for event delegates and is not directed at children.

Changes to this policy

We may update this policy as the event evolves. The “last updated” date at the top shows when it last changed, and we’ll let delegates know about any significant changes.
